Phone system for financial advisors that keeps client calls on the firm number

A phone system for financial advisors puts every client call on one firm number that rings the advisor, an associate or a client service assistant, records calls with a consent announcement, and keeps the number with the firm when people change. Phoner starts at $9 per user per month on Starter and $17 on Team, billed yearly, with call recording and business texting on Team and above.

Clients call a cell number because it is the one they have. When that advisor changes firms, goes on leave or leaves the country for two weeks, the relationship is on a personal phone nobody else can reach.

Line 01 The problem

Where an advisory practice loses calls and records

Three ways the current setup quietly hands callers to somebody else.

Pain 01

Client relationships live on personal cell numbers

An advisor who gives clients a mobile number takes the call history, the voicemails and the number itself out the door on the day they leave. The firm owns the client relationship on paper and a personal SIM in practice.

Pain 02

Market days produce call spikes the front desk cannot absorb

When markets fall sharply, the same twelve clients call in the same hour. One line that rolls to a busy signal, or a voicemail box that is full, reads as silence at exactly the wrong moment.

Pain 03

Nobody can reconstruct a phone conversation later

A client says an instruction was given on a call in March. Without a recording or at least a call log with times and extensions, the firm is left with memory against memory.

Line 02 What changes with Phoner

One number for the firm, a clear path for every call

Every outcome below is a setting you flip, not a project you scope.

01

Calls recorded with a consent announcement

Turn on call recording with an announcement at the start of the call, so the recording is disclosed to every caller, including clients in all-party consent states. Recordings sit next to the call log with the time, the extension and the number.

02

A menu that separates clients from everyone else

An IVR phone menu sends existing clients to their advisor or the service team, new prospects to whoever books introductory meetings, and custodian or vendor calls to operations, so an advisor does not pick up a sales pitch during a review meeting.

03

Coverage when the advisor is in a meeting or away

Set call routing so a call rings the advisor first, then the associate, then the client service assistant. During a vacation the whole book routes to the covering advisor without anyone changing a number.

04

Scheduling and reminders by text from the firm number

Send meeting confirmations and document reminders with business texting from the same number clients already call, so the reply lands in a shared inbox the team can see and not on one person's phone.

Recording rules differ by state, and a firm with clients in several states should set the announcement once and leave it on. Our state-by-state guide to call recording laws lists which states need every party to agree.

How a real call plays out

Straight from the operator's call sheet, next to the math the decision maker actually runs.

Operator's call sheet UC-14 Advisors

On a Monday morning after a sharp market drop, a client calls the firm number at 9:05. The menu answers, she presses 1 for her advisor, and the call rings the advisor and the associate at once. The advisor is on another call, so the associate picks up, and the announcement tells the client the call is recorded. The associate books a 2:30 review, texts her the confirmation from the firm number, and the call and the text both sit in the shared log under the advisor's client. Nobody gave out a personal mobile number.

The budget math USD

A practice with two advisors, an associate and a client service assistant is four seats. On Team, which includes recording, routing and business texting, that is $68 a month billed yearly, or $140 month to month. Seats are added when a new advisor joins and removed when one leaves, and the number stays with the firm either way.

Recording and consent

Phoner records calls and texts and keeps a call log, but it is not a regulatory archiving or supervision system. A registered firm that must retain and supervise electronic communications under SEC or FINRA rules should confirm its own retention requirements with compliance counsel and keep its archiving tool for texts. Phoner also does not offer a HIPAA BAA, which matters only for advisors who handle health information.

Line 05 Before you switch

Questions financial advisors ask first

Yes, on Team and above. Call recording plays a consent announcement at the start of the call and stores the audio beside the call log. Retention is unlimited on Business. Whether and how long your firm must keep recordings depends on your regulator and your compliance policy, so confirm that internally.

You can port the firm's published number to Phoner for free, and our team handles the carrier paperwork while the old number keeps ringing. Personal cell numbers stay with the person, which is the reason most firms move clients onto a firm number going forward and tell them once.

No. Business texting is included on Team and above, with a shared inbox and history, but it is not a regulatory archiving product. If your firm must supervise and retain texts, keep texting inside your approved archiving tool or limit Phoner texts to scheduling and reminders.
