Privacy policy

This policy explains what Phoner collects, why, how long we keep it, and the rights you have over it. It is written in plain English to be read, not skimmed past.

Who we are

Phoner ("we", "us") operates phoner.ai, a cloud business phone system. For your account and website data we act as the data controller. For the content of your calls, texts, voicemails, and recordings, you and your company are in charge and we process that data on your instructions. You can reach us at [email protected].

What we collect

  • Account data. Your email address when you sign up, confirm it, or contact us, plus the source of the signup (which page or button) and standard technical logs such as IP address and browser type.
  • Usage metadata. Aggregate analytics about how the site and apps are used, collected with minimal identifiers, so we can see what works and fix what does not.
  • Call metadata. The operational records a phone system needs to function: numbers dialed, call times and durations, routing outcomes, and voicemail transcripts.
  • Recordings you create. Call recordings exist only when you turn recording on for a line. You control them: you decide what is recorded, who on your team can hear it, and when it is deleted.

How we use it

  • To operate your phone system: connecting calls, routing, transcribing voicemail, storing the recordings you create.
  • To run your account: confirmation emails, replies to your messages, service notices.
  • To keep the service secure and prevent abuse, including spam and fraud screening on signups.
  • To improve the product using aggregate, de-identified usage data.

We do not sell personal data, and we do not use the content of your calls, texts, or recordings for advertising.

Who we share it with

Only the processors needed to run the service: cloud hosting providers that store data and carry traffic, and an email delivery provider that sends confirmation codes and replies. Each is bound by a data processing agreement. Beyond that, we disclose data only where the law requires it.

Your rights

You can request access to the personal data we hold about you, correction, deletion, restriction, and portability. Email [email protected] and we respond within 30 days. If your request concerns a call or recording controlled by a Phoner customer (for example, your employer's account), we will route the request with that customer. Depending on where you live, you may also complain to your data protection authority.

Cookies

We keep cookies minimal: a session cookie that makes forms work and a privacy-respecting analytics identifier. No advertising trackers, no cross-site profiles.

Security

Call data is encrypted in transit and at rest, access is role-restricted and logged, and production access requires multi-factor authentication. No system is perfectly secure; if an incident affects your data we will notify you as the law requires.

Changes

If this policy changes materially we will note it here with a new date, and for significant changes we will email account holders.
