Phone system for staffing agencies that keeps candidate and client calls on the agency number

A phone system for staffing agencies gives every recruiter and account manager a business line on the agency number, sends candidates and client managers to the right desk by keypress, records calls with a consent announcement, and keeps the number and call history with the agency when a recruiter leaves. Phoner is $9 per user per month on Starter and $17 on Team, billed yearly, with routing, recording and business texting on Team.

A recruiter who calls candidates from a personal cell takes the callbacks, the voicemails and the relationship with them when they leave. The agency paid to source those people and keeps none of the phone history.

Line 01 The problem

Where a staffing desk loses candidates and clients

Three ways the current setup quietly hands callers to somebody else.

Pain 01

Candidates call back a number that rings nobody

A candidate returns a missed call at 6:40 in the evening, gets a recruiter's personal voicemail, and takes the next offer. The placement fee goes to whoever answered first.

Pain 02

Client managers and candidates share one line

A hiring manager reporting a no-show at 7 AM is held up behind a candidate asking about a pay stub. Urgent client calls need a different path from candidate questions.

Pain 03

Recruiter turnover takes the contact history with it

Recruiting teams change often. When the numbers candidates know belong to individuals, every departure is a small data loss.

Line 02 What changes with Phoner

One agency number and a clear path for every caller

Every outcome below is a setting you flip, not a project you scope.

01

Separate paths for clients, candidates and current workers

An IVR phone menu sends client managers to their account manager, candidates to the recruiting desk and placed workers to whoever handles timesheets and shift questions, so an urgent call is never queued behind a routine one.

02

Calls that ring the right people in order

Set call routing so a call rings the assigned recruiter first, then the rest of the desk. Outside office hours a business hours schedule moves calls to voicemail with a text transcript.

03

Recorded screening and client calls

Turn on call recording with an announcement at the start of the call, so a recruiter can replay what a candidate said about availability or pay and a manager can coach from real calls.

04

Shift and interview reminders by text

Candidates answer texts faster than calls. Send interview and shift reminders with business texting from the agency number, with replies landing in a shared inbox. Texting goes live on a number once carrier registration is approved, usually a few business days.

Recruiters often call candidates in other states, and recording rules follow the stricter party. Our state-by-state guide to call recording laws shows which states need every party to agree.

How a real call plays out

Straight from the operator's call sheet, next to the math the decision maker actually runs.

Operator's call sheet UC-15 Staffing

At 6:40 on a Tuesday evening a candidate returns a call to the agency number. The after-hours schedule sends her to voicemail, and the transcript arrives in the shared inbox. At 7:05 the next morning a client manager calls to say a temp has not arrived. He presses 1 for his account manager, who is already on the phone, so the call rolls to the second account manager. She texts the candidate a reminder and the call, the voicemail and the text all sit in the log under the agency number.

The budget math USD

A small agency with four recruiters and two account managers is six seats. On Team, which includes the menu, routing, recording and business texting, that is $102 a month billed yearly, or $210 month to month. A recruiter who leaves is a seat removed, and the number stays with the agency.

Recording and consent

Phoner is a business phone system, not a contact center. It does not queue callers on hold behind each other, route by skill or longest idle time, dial lists automatically or let a supervisor listen in on live calls. An agency running a high-volume desk with dozens of agents against a service level should shortlist a contact center platform. Phoner also does not offer a HIPAA BAA, which matters only if you place healthcare workers and discuss health information on calls.

Questions staffing agencies ask first

Yes. A recruiter signs into the Phoner app on a personal phone, then calls and texts as the agency number, so the candidate never sees a personal number. When the recruiter leaves, you remove the seat and their access ends while the number stays.

Yes. Number porting is free and our team handles the carrier paperwork. Your existing number keeps ringing while the transfer completes, which usually takes one to two weeks, and a temporary number is assigned in the meantime.

No. It handles menus, ring groups, recording and texting for a team that answers calls directly. It does not do hold queues, skills-based routing, auto dialing or live call monitoring, so a large desk working to a service level needs a contact center platform.
