What every after-hours greeting needs

The callers who reach your voicemail after hours are often the most valuable ones: they are calling because they need something now. A dead-air mailbox or a greeting that just says "leave a message" tells them to try the next business instead. Every script below follows the same four beats, and you should keep them in this order:

  1. Confirm the business. "You have reached Cedar Plumbing." The caller relaxes the instant they know they dialed correctly.
  2. Say you are closed and when you reopen. Specific hours beat "we are currently unavailable." Give the day and time.
  3. Give one next step. Leave a message, text this number, or press a key for emergencies. One instruction, not three.
  4. Promise a callback window and keep it. "We return calls by 10 AM the next business day" turns a voicemail into a scheduled appointment.

Closed-office after-hours scripts

1. Standard after-hours. "Thanks for calling Cedar Plumbing. Our office is closed right now. We are open Monday through Friday, 8 AM to 5 PM. Please leave your name, number, and what you need, and we will call you back by 10 AM the next business day."

2. After-hours with a text option. "You have reached Cedar Plumbing after hours. If it is not urgent, the fastest way to reach us is a text to this same number, and we will reply first thing in the morning. Otherwise, leave a message and we will call you back tomorrow."

3. After-hours with an emergency path. "Thanks for calling Cedar Plumbing. The office is closed. If this is a plumbing emergency like a burst pipe or a flood, stay on the line and press 1 to reach our on-call technician. For anything else, leave a message and we will return your call in the morning."

4. Short and warm. "Hi, you have reached Cedar Plumbing. We are closed for the evening but we do not want to miss you. Leave your name and number and you will hear back from a real person by mid-morning tomorrow."

Weekend voicemail scripts

5. Standard weekend. "Thanks for calling Cedar Plumbing. We are closed for the weekend and will reopen Monday at 8 AM. Please leave a message with your name and number, and you will be one of the first calls we return Monday morning."

6. Weekend with limited coverage. "You have reached Cedar Plumbing over the weekend. We are checking messages periodically until Monday. Leave a detailed message and we will get back to you as soon as we can, usually within a few hours during the day."

Holiday voicemail scripts

7. Single holiday. "Thanks for calling Cedar Plumbing. We are closed today for the holiday and will reopen tomorrow at 8 AM. Leave your name and number and we will return your call first thing."

8. Extended holiday closure. "You have reached Cedar Plumbing. Our office is closed for the holiday from December 24th and reopens January 2nd. We are still monitoring emergencies. For urgent issues, press 1. For everything else, leave a message and we will reply the day we return."

Busy-line and overflow scripts

9. All lines busy. "Thanks for calling Cedar Plumbing. Every line is busy helping other customers right now. Please leave your name and number and we will call you back in the order we received your message, usually within the hour."

10. Missed a call during the day. "You have reached Cedar Plumbing. We stepped away from the phone for a moment. Leave a quick message and we will call you right back, or text this number and we will reply in a couple of minutes."

Emergency and on-call line scripts

11. Emergency line greeting. "You have reached the Cedar Plumbing emergency line. If you have a true emergency such as flooding, no water, or a gas smell, stay on the line and the next available technician will pick up. If this is not an emergency, please call back during business hours."

12. On-call handoff. "Thanks for calling Cedar Plumbing after hours. You are being connected to our on-call technician. If the call does not connect, leave your name, address, and the problem, and the technician will call you back within fifteen minutes."

Office closed voicemail message examples

"Closed" and "after hours" are the same situation described two ways, but the wording differs in one respect that matters: a closed-office message usually needs to say why, because the caller may be standing outside your door. Name the reason and the reopening time in the first eight seconds.

13. Office closed voicemail message, general. "You have reached Cedar Plumbing. Our office is closed right now. We are open Monday through Friday, 8 AM to 5 PM. Leave your name, number, and a short description of what you need, and we will call you back within one business hour of reopening."

14. Business closed voicemail message, unexpected closure. "Thanks for calling Cedar Plumbing. Our office is closed today due to weather and we expect to reopen tomorrow morning at 8 AM. The second script is the one most businesses do not have ready, and it is the one they need at seven in the morning on a day nobody planned for. Record it now, keep it unpublished, and switch to it in ten seconds when you need it.

After hours message for a medical office

A medical after-hours greeting carries a duty the others do not: it has to route a genuine emergency away from your voicemail entirely, and it should not invite callers to leave clinical details in a mailbox. Say where to go for an emergency before you say anything else.

15. Medical or dental office, after hours. "You have reached Riverbend Family Dental. If this is a medical emergency, hang up and dial 911. Our office is closed and reopens Monday at 8 AM. The one line that saves the callback

Notice the difference between "leave a message" and "we will call you back by 10 AM the next business day." The first asks the caller to trust a void. The second gives them a specific promise, which is the difference between a caller who waits for you and a caller who dials your competitor while your voicemail is still playing. Add a callback window to every greeting you record, and then honor it.

How long should an after-hours voicemail greeting be?
