A ring group is a set of phones that ring together when one number is dialed, so the first available person answers and the rest stop ringing. It is the simplest way to stop sending calls to a single desk that nobody is standing at. Ring groups can ring everyone at once, in a set order, or one after another in rotation. They are not the same thing as a call queue, which holds callers in line and plays music, or a hunt group, which is the older name for the same idea.
If you have ever watched a phone ring four times in an empty office while three people who could have answered it were forty feet away, you already understand the problem ring groups solve.
How a ring group works
You create a group, put people in it, and point a number or a phone menu option at the group instead of at a person. When a call arrives, the system rings every phone in the group according to the pattern you chose. Whoever picks up first gets the call, and every other phone goes quiet. If nobody answers within the ring time you set, the call falls through to wherever you decided: another group, a manager's cell, or voicemail.
Nothing about this requires hardware. On a cloud system the "phones" are whatever the members are already carrying, so a group can include an iPhone in a truck, a laptop in a home office, and a tablet at a front counter, all ringing at the same instant.
The three ring patterns, and when to use each

Simultaneous is the right default for almost every business under twenty people. It answers fastest and it needs no maintenance. Sequential earns its keep when the order genuinely matters, for example when a dispatcher should get first crack at every service call and the owner is the fallback. Round-robin matters when calls are leads with money attached and the team keeps score, which is why dealership sales floors lean on it.
Ring group vs hunt group
They are the same feature with different vintage. "Hunt group" comes from traditional PBX systems, where the switch would hunt down the line for a free extension. "Ring group" is the term most cloud phone systems use now. If a vendor lists both, read the details rather than the label: some systems reserve "hunt group" for strictly sequential ringing and use "ring group" for simultaneous, but there is no industry-wide rule.

The short version: a ring group is for making sure a call gets picked up. A queue is for managing a line when calls arrive faster than a team can answer them. Small businesses almost always want the first and almost never want the second. If you are being sold a contact-center queue for a five-person office, you are buying hold music you will never use.
Where ring groups fit in the call flow
A ring group is rarely the first thing a caller touches. The usual order is a menu, then a group, then voicemail:
- The menu answers instantly. An IVR phone menu greets the caller and asks what they need. Press 1 for sales, press 2 for service.
- The keypress points at a group. Option 1 rings the sales group, option 2 rings the service group. This is where call routing does the work.
- The group rings for 15 to 25 seconds. Long enough for somebody to get to a phone, short enough that the caller does not give up.
- Anything unanswered falls through. To a second group, an on-call cell, or voicemail that arrives as a text transcript.
Business hours sit on top of all of it. The same option can ring five phones at 2 pm and one on-call phone at 9 pm, without anybody remembering to change a setting.
How many people should be in a ring group?
Two to six for a simultaneous group is the sweet spot. Below two it is not a group, it is a phone. Above six or seven, simultaneous ringing becomes a distraction tax: everybody's phone lights up for every call, people start ignoring it, and the group quietly stops working. Once you are past that size, split by function (sales, service, billing) rather than adding people to one giant group.
Two practical rules save most of the pain. Keep ring time between 15 and 25 seconds, because four rings is roughly where callers start assuming nobody is there. And always define the fallback, because the group's real job is deciding what happens on the call nobody answers.
What happens if two calls come in at once?
Both ring the group. On a cloud system the group is not a physical line, so a second caller is not met with a busy signal. The phones that are already on a call are skipped, and the remaining members ring. If everyone is busy, the second call takes the fallback path you configured, which for most teams means a short greeting and voicemail that gets transcribed and sent as text within seconds.
This is the biggest practical difference from a traditional multi-line phone setup, where the number of simultaneous calls was capped by the number of physical lines you paid for. On a VoIP phone service the cap is bandwidth, and for a small office that ceiling is far higher than the call volume.
Do I need a ring group if I have call forwarding?
Call forwarding sends a call from one number to one other number. A ring group rings several people at once and picks the first one available. Forwarding is a redirect; a group is a race.
