PATLive for the lowest live price per minute

PATLive has the cheapest published live plans we found. Fifty minutes is $99, 100 is $189, 200 is $349 and 500 is $759, and a $49 pay-as-you-go plan charges $2.99 a minute for very light use. It answers 24/7 and offers a free trial on the full service. Overage runs from $2.29 a minute on the smallest plan down to $1.49 on the largest, so the per-minute price only gets good once you commit to volume.

Ruby for a front desk with everything included

Ruby costs more per minute than anyone here: $250 for 50 minutes, $395 for 100, $720 for 200 and $1,725 for 500. What you get for that is a single feature set on every plan, with no setup or onboarding fees, 24/7 answering, Spanish and bilingual call handling, scheduling, lead intake, payment collection and HIPAA-compliant service available. Ruby bills in 60-second increments rounded up and does not print an overage rate, so ask for it in writing.

Smith.ai for lead screening and long calls

Smith.ai is the per-call option. Its live plans are $300 for 30 calls, $810 for 90 and $2,100 for 300, and a long call costs the same as a short one. Agents qualify leads and ask five intake questions on every plan, and one CRM integration is included. Smith.ai AI receptionist for low cost per call

Smith.ai's AI plans answer with software first and can hand a complex call to a live receptionist. Pro is $150 a month for 75 calls ($2.00 each), with lower per-call rates at 150 and 300 calls, and a free tier covers 25 calls for testing. Recording, transcripts and scheduling are included. It suits a business with routine questions and bookings that still wants a person behind the AI.

AnswerConnect for higher volume and HIPAA

AnswerConnect is built for volume. Its published 550-minute tier is $795, about $1.45 a minute, with $1.85 overage, and every plan carries a one-time $49.99 setup fee. HIPAA compliance is sold as a $40 a month add-on. It counts the time a receptionist spends writing up your message after the caller hangs up, so budget for minutes above your talk time.

Phoner when callers only need to reach the right person

Phoner is not an answering service. It answers every call with a recorded greeting and a phone menu, rings the right person or group, and turns anything unanswered into a voicemail transcript in a shared inbox. On the automated phone answering Team plan that is $17 a user billed yearly, with a 3-user minimum, and there is no meter on calls. Most published guides quote a per-minute range and stop. Here is what the same small business actually pays at three call volumes, using each provider's cheapest plan or plan plus overage. We assumed two and a half billed minutes per call, which is a typical small-office average once each call is rounded up to the minute.

PATLive figures are its 50 or 100 minute plan plus overage, or its 300 minute plan, whichever is lower. Ruby figures are the smallest plan that covers the minutes, because Ruby prints no overage rate. Smith.ai figures are a plan plus its per-call overage. AnswerConnect is left out because its 200 to 400 minute plan prices are not machine-readable on its published table. Taxes, add-ons and setup fees are extra everywhere.

The pattern is clear. Do small businesses need a live answering service?

Only if callers need a conversation. A law firm screening new clients, a plumber booking an emergency visit or a clinic taking a detailed message needs a person, or an AI that acts like one. A business whose callers ask for hours, an address, a quote callback or a specific person is paying for minutes a phone menu would handle in two seconds.

Look at your last month of calls before you buy. Sort them into three piles: calls that needed a judgment (a new lead, an urgent problem), calls that needed routing (sales, billing, a named person) and calls that were spam or wrong numbers. If the first pile is small, buy a phone menu and send only after-hours or unanswered calls to a service. If it is large, a live service is worth what it costs.

  • HIPAA. Ruby offers HIPAA-compliant service and AnswerConnect sells it as a $40 add-on. A medical or dental office should get a signed business associate agreement before the first call.
  • Trial and refund terms. PATLive offers a free trial; Smith.ai refunds the plan within 30 days up to $1,000, excluding overage.
  • Who owns the number. Keep your business number on a phone system you control and forward calls to the service, so you can switch services without reprinting anything.
